1. Information we collect

• Information you provide through our contact or Discovery Call form: the parent’s/guardian’s name, email, and (optionally) phone; the student’s grade/year; your description of the academic situation; and optionally how you heard about us.
• Information about a student. Because inquiries often concern a student, the information you provide may include details about a child or young person. Please share only what is reasonably needed for us to understand your inquiry, and only if you are the student’s parent or guardian or otherwise have authority to make the inquiry.
• Website technical information. We use essential cookies and limited first-party, non-advertising usage analytics provided by our website platform. We do not use advertising or cross-site tracking.

2. Consent

By submitting the form and confirming the consent statement, you give express consent for us to use the information for the purposes below. You may withdraw consent to future contact at any time, subject to legal or operational limits (see Section 8).

3. Why we collect it

To respond to your inquiry, arrange and conduct a Discovery Call, assess whether our services fit the student’s needs, and communicate with you about possible services. We do not sell your information, and we do not use it for advertising.

4. Retention

We keep non-enrolled inquiry information for up to 18 months after our last meaningful contact with you, unless a longer period is reasonably required for legal, security, dispute-resolution, or record-keeping purposes. If the student enrols, retention is governed by separate enrolment/service records and practices.

5. Who can see it

Access is limited to The Flawless Academy personnel who need it to respond to your inquiry and arrange services.

6. Service providers and cross-border processing

We use trusted service providers to operate our website and related systems, including providers for website hosting, secure data storage/login, and scheduling. These may include Lovable, Supabase, and Google scheduling services. Some providers may store or process information outside Canada, including in the United States, where it may be subject to foreign laws and lawful-access requests. The Flawless Academy remains responsible for personal information under its control and uses contractual or other reasonable safeguards where appropriate.

7. Cookies and storage

We use essential cookies and limited first-party, non-advertising usage analytics provided by our website platform. We do not use advertising or cross-site tracking.

8. Your choices and rights

You may request access to, correction of, or deletion of your personal information by emailing info@flawlessacademia.org. We may need to verify your identity before responding. You may withdraw consent to future contact at any time, subject to legal or operational limits. If you withdraw consent or ask us to delete information, we may no longer be able to respond to your inquiry or provide services.

9. Accountability

10. Security

We use reasonable safeguards appropriate to the sensitivity of the information. No online transmission or storage is perfectly secure, but we work to protect your information.

11. Concerns

If we cannot resolve a privacy concern, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

12. Children

Inquiries are made by parents or guardians. We do not knowingly collect information directly from children without a parent’s or guardian’s involvement.
